New meeting location
Margherita paid $335 for the hall bond (refunded when we finish) – see back of meeting book for a further cash balance breakdown.
Margherita has been in touch with the Ng Art centre and they are interested in us using their facilities when they have set up their gallery and studio. After their committee has met and set conditions they will contact us.
They are also interested in us exhibiting there, which we can do after the 2 workshops planned for later in the year.
Exhibition group
A few people are interested in being very involved but most will do what they can depending on their circumstances at the time of any exhibitions.
Calling All Quilts: have invited us to exhibit again – like we did in 2012 – but with a smaller space… approx 2.5m square.
An idea I have suggested to them is that we will make 1 collaborative piece and then fill in the space with 1 off items made from previous classes – off loom weaving would be a good option.
NOTE: Margherita sent out an email to all members asking for interest in being involved.
5 members are now involved and have been contacted and made a choice for the collaborative piece – A Study in Colour.
Another email will ask for members individual work later on, if they want to be involved.
Meeting dates for the year
Decision to be made on whether we meet –
May – it’s on at same time as CAQ – check closer to the time to find out how many people will attend if it is on.
Dec –we will likely just finish in Nov as any other date in Dec will be either too close to last meeting or to Xmas – discuss further later in the year.

Pirongia Market Sept, (Toni will let us know when that is)
Funding and 3 workshops
Margherita has applied to Ng Council Creative communities’ scheme for funding of 2 workshops.
Lianne (who works at the council) advised us on form filling and how to budget etc.
The funding option is looking very promising and the cost will be approx $50 including all supplies.
If we don’t get any / or reduced funding the cost will go up, but we will still go ahead with the workshops.
Both are for a full Sat, 9 – 5.
Encaustic wax art – collage etc.
Shibori silk dyeing – 4 of us went to another provider for this class and it was so lovely, with gorgeous silk creations, it will be a great one to repeat.
They will be held later in the year – months to be confirmed when we know more about the funding.
Funding results will be April/May.
Another outside tutor is a photographer who will have a day class on how to photograph art to highlight it’s best features and what to do with it once you have the photo. She will be mid year – month to be finalised.
New members
Margherita sent out the “new members wanted” blurb to all members and thank you to all of you who have shared this with your friends, other groups, and your local notice boards.
New members bring new excitement to the group and share the costs of classes and allow more opportunities for outside tutors to teach us.

Meeting venue – Margherita is contacting places and will give feedback when more is known. In the mean time it has been suggested to meet at Ng hall as it is only $30 day for all the facilities. I will let you know more before the next newsletter, of where we will meet.
New members
We need to gain more members to spread the cost of venue and allow more opportunities to pay for outside tutors.
I will write up a blurb about the group, and send it out to everyone. If you would like to share it with any groups you are involved in and mention our group to your arty friends who may like to come along.
Exhibition group
Margherita has emailed to ask for people who are interested in joining the internal group, to reply and say what degree they are interested
and what they require to be involved eg learn how to take photos
What the exhibition group would like to learn can be taught for the whole group if it is a technique, plenty will be interested in, otherwise we could hold separate, end of the day classes eg from 2 – 3pm.
This is only a mention now, because of the unknown amount of people interested in exhibiting eg if only 3 of us, then that may leave a large majority not interested in learning the intricacies eg of art picture taking eg.
More will be decided when we know more of the size of the group.
Exhibition people need to be fully committed, to the degree they want to be involved, because when we commit to exhibit etc then we can rely on
the art being ready from the people who said they would be involved with that event
The email will also ask members to send back a list of possible places they think we can exhibit
Members who do provide places will be asked if they will contact them or let us know so 1 of us can make contact
Contact is just to find out what we need to do to apply to exhibit and when exhibition time starts and a person to contact if there is not a form to fill in

Work must be from what we have done in our classes (whether you attended or not – you can work from the notes but it will need to be checked by
the group to see if it fits in with what is made by class attendees (this is just in case the notes are a bit ambiguous and what you made is not similar to the group and would not be cohesive in the exhibit) you can go off on a tangent as long as the basic class technique is still obvious

We had a lovely Dec planning meeting with 7 of us at various times during the day– sharing ideas and some yummy treats.
I have listed below what was discuss and decided but remember you can still give feedback, suggestions or ask questions if I haven’t clarified something.
NOTE: My proof reader said it is long (which it is, to cover everything in detail) so first I’ve listed a summary of just the main points to get you to the first meeting. At least read these and then the rest is for when and if you want more….

Cutting Edge Textiles
We want to be a dynamic group of like minded artists – whether as hobby / fun / or more professional.
So we want our group to be a great group that others would love to join.
But also members and visitors, need to understand that with commitment to our group, comes privileges, rights and of course responsibilities
Maybe we could work on a mission statement to sum all this up?
Emails / Newsletters
Each month I will send out the newsletter as usual. It would be great to have more input from the members with articles, tips, links etc to add in.
It will just contain the info for that month and all the background info will now be sent out as individual emails eg background, database etc.
You can save these for future reference. If this is confusing, don’t worry, you’ll understand more when they start to arrive.
When I add any new info/updates etc I will send out a replacement email, for you to delete the previous one and then save the new one.
This will reduce the size of the monthly newsletter.
Car pool
We have members spread around Hamilton and the Waikato, so if transport is an issue or you just want to save petrol – have a look at the members list and see if you can car pool in your area to the meetings. Or contact me for some help with transport.
New members
We want and need to grow the membership – any ideas??
- To help cover fixed cost – venue etc
- To be able to bring in external tutors and lessen the risk of high class fees by having more members to spread the cost.
As we grow we need to be aware of new members,
- that they feel comfortable, especially in a room where everyone else seems to know each other.
- That they get to meet us all and we can all find new friends
- That we can help them know how we do things etc
- That we all share in this friendship, not just the organisers
In the introductory email I send out to potential new members I will also explain that class time is usually an intense full on learning time but after lunch more relaxed sharing time is available.

Casuals are nice to have join us on the day, but will pay a higher fee to attend, as with no commitment from them to sustain our group, the money is
the only real benefit the group receives.

· Share so that meetings are exciting, educational, inspiring and supportive

MEETING COSTS

The $5 entrance fee is the buffer for venue costs.
Each meeting the total of the entrance fee for the day will be used to
- Pay the tutor (up to the $2 max per person)
If payment is less than the $2 max, then surplus will be put in bank
- Buy any replacement drink stuff, when needed
- Pay for the venue
If the venue is more, then the extra will be paid from the bank account (where the sub is saved for this reason)
If the venue is less than this amount – the surplus will be put in the bank ready for any future payments.
WORKSHOPS with external tutor
Members - pay the cost of the class split between attendees
Non members - pay the same cost + years sub late fee ($30)
SAVINGS
These details are in the back of the meeting book – remember you can look anytime at these accounts
The total in the book is now at $155.70
This amount is in my bank account.
FUNDING
I applied for funding Meredith’s class but didn’t hear back (expected to mid Dec) so assume we missed.
I will talk to Meredith and also apply again but I’ll also look at putting the word out to other groups to see if others are interested and we could look at funding her ourselves??
I will keep applying to all the available options (listed below) as the year progresses.

SHARING RULES
Sharing time is a time to show what you are doing and have done previously, challenges and art you need help with.
It doesn’t necessarily need to be what you have done in textile group.
If you are asked questions about your art, feel free to share details.
– this way we all learn and remember you may think what you’ve done is easy to do but if we don’t know and we ask we really want to learn.
If the technique you are asked about would take more than a couple of minutes to show – consider sharing it as a mini class in the future.
Let us know (when you are asked the question) you need more time to properly show the technique and we can organise a time slot for
you at the next meeting you attend.
If you don’t want to show the technique then best not to share the art. You may have a variety of reasons why you can’t share the method.

Teaching time is the intense learning time.
We want to have fun but also remember to listen to the teacher as a first priority.
And be aware if some people need quite and concentration to achieve their work.
As the teaching part finishes then relax more, share more, bring along any unfinished work to finish, move around and sit with someone new, get to know someone new.

It will be very important that you let me know if you are attending or not, as we may need to change venues depending on the amount of people attending. Once we have a permanent larger space again, then numbers attending will be nice to know but won’t be so crucial to plan for.

GUIDLELINES
The class can be something you know about or something you want to try
You don’t need to be an expert –
Trialling a new technique can also help share the costs as usually buying the supplies can be a high cost and you only need a little, so
this way you can share the cost with the other members.
It will be great if you have handouts for the class or at least some background info you can pass to me so I can put on the email class notes
page.
Class notes just in black and white images and the email page version can have the colour and can be:
- photocopies of the notes you have gained from books or other classes – YOU MUST reference where you took the copies from
- or your own notes and pictures (take photos as you make the sample piece/s)
TECHNIQUES for future classes and teachers (this has now been moved over to the techniques email)
Exhibiting / events / marketing / funding etc
Members wishing to exhibit and market their art, will be a sub group and we will get together towards the end of the meeting day
JAN MEETING we will have a quick meeting to decide who’s interested and to what degree and a forward plan.
Many people are interested in textile art and it will be good to get our group info and our art, out there.
The members interested in this part of the group can be at any level
eg exhibit if they have time, all the way thru to “How do I become a full time artist”
There are many techniques and much information out there on how to market / display and sell art, it’s just a matter of us learning it.
We will learn:
how to take good art photos, and store them gallery ready eg proper labels, sizes etc
this includes storing them on computers, resizing ready for sending, attaching to email, downloading etc.
Write required artist info eg cv, statement etc
How to apply for exhibitions
This includes finishing the above steps so we have a library of art ready for filling in applications

where we can display our art - Galleries, shops etc
a time line of where we are exhibiting and what needs to be done when
Who is involved with each even and what they are doing

The big issue is price as $50 a day is very cheap for a hall BUT if only 2 of us turn up – it becomes a very expensive day.
Ellen has suggested we could meet at her new building, which sounds great and she is looking into work surfaces to use. She’ll keep us posted.
What will help with making a decision on the hall is:

Caroline talked about submitting her work and being accepted for “Beneath Southern Skies” and mentioned artist Brenda Gail Smith.
Clare talked about us putting a body of work together for the framing workshop gallery.. – look at it again after CAQ in May, but check out the art in April when people bring art in.. need to discuss this now CAQ is finished.
CAQ – bring as many pieces as you want in April – everyone will get at least 1 piece in and then the rest will be chosen on what will give a stimulating and cohesive display. Ellen mentioned the area for display may be small .. I’ll ask Linda if she has an idea yet of our area.
Next meeting 1 big class in morning and afternoon small class with CAQ hand in and if lots to exhibit, make choices for display

Artspost submissions – member must attend 50 – 75% of meetings (after joining) and have made the art with the technique taught (eg missed the dye class but entering a dye art piece). Decisions about art being entered if too many for display– made by members present at the time.
Members teach the classes – either ½ (2 hours) or full day (4 hrs) ......... or can have a slot time of a few mini classes, if members feel they don’t have enough for a full class.
No membership joining fee to be charged – just $3 for first meeting entry (instead of $2)
Wont look at halls for meetings as we all enjoy Budget rooms .. but may be too hot during the summer. Still look for messy class meeting room.

Artspost submission feedback: We had a good response of 12 members interested in exhibiting and I received photos from 8.
We will hear by the end of Oct whether we have been successful. With our help from Marion, I’m hopeful.
I have put our exhibit time as any time from Aug on, so that gives us a year.
Also on advice from Marion I have put in that we will have an external final selector and have approached Yanny Split, a textile artist who did an amazing job with the creative fibre national exhibit at quilt fair 3 – 4? years ago. She has asked various questions and I’m hopeful she will accept, but again it is a year away.

Decided that I would be the convenor of the group until we were large enough to need a committee. But I’m open to all help and will ask when specific jobs need doing.

Challenge size – decided on making challenges all same sizes ready if we are accepted for Arts post submission, agreed on golden ratio proportions so 10” x 16” horizontal or vertical and anything that fits into those sizes eg could be 8 x 16- Ideas for challenges,
Challenges will all be anything you want to make (unless specified eg a bag) but if you want it to be eligible for the group exhibits
(Calling all quilts next may and possibly Artspost) then it needs to fit within a 10” x 16” (or 25cm X 40cm) size.
REMEMBER – being part of the exhibits is optional and can be decided at exhibition times.
Halls for when group gets bigger or we are doing very messy classes and not sure how long Budgeting office available – Clare has said we can meet there until budgeting services move, not sure when. Please pass to Margherita any hall suggestions.

New meeting location
Margherita paid $335 for the hall bond (refunded when we finish) – see back of meeting book for a further cash balance breakdown.
Margherita has been in touch with the Ng Art centre and they are interested in us using their facilities when they have set up their gallery and studio. After their committee has met and set conditions they will contact us.
They are also interested in us exhibiting there, which we can do after the 2 workshops planned for later in the year.
Exhibition group
A few people are interested in being very involved but most will do what they can depending on their circumstances at the time of any exhibitions.
Calling All Quilts: have invited us to exhibit again – like we did in 2012 – but with a smaller space… approx 2.5m square.
An idea I have suggested to them is that we will make 1 collaborative piece and then fill in the space with 1 off items made from previous classes – off loom weaving would be a good option.
NOTE: Margherita sent out an email to all members asking for interest in being involved.
5 members are now involved and have been contacted and made a choice for the collaborative piece – A Study in Colour.
Another email will ask for members individual work later on, if they want to be involved.
Meeting dates for the year
Decision to be made on whether we meet –
May – it’s on at same time as CAQ – check closer to the time to find out how many people will attend if it is on.
Dec –we will likely just finish in Nov as any other date in Dec will be either too close to last meeting or to Xmas – discuss further later in the year.

Funding and 3 workshops
Margherita has applied to Ng Council Creative communities’ scheme for funding of 2 workshops.
Lianne (who works at the council) advised us on form filling and how to budget etc.
The funding option is looking very promising and the cost will be approx $50 including all supplies.
If we don’t get any / or reduced funding the cost will go up, but we will still go ahead with the workshops.
Both are for a full Sat, 9 – 5.
Encaustic wax art – collage etc.
Shibori silk dyeing – 4 of us went to another provider for this class and it was so lovely, with gorgeous silk creations, it will be a great one to repeat.
They will be held later in the year – months to be confirmed when we know more about the funding.
Funding results will be April/May.
Another outside tutor is a photographer who will have a day class on how to photograph art to highlight it’s best features and what to do with it once you have the photo. She will be mid year – month to be finalised.

Margherita sent out the “new members wanted” blurb to all members and thank you to all of you who have shared this with your friends, other groups, and your local notice boards.
New members bring new excitement to the group and share the costs of classes and allow more opportunities for outside tutors to teach us.

Meeting venue – Margherita is contacting places and will give feedback when more is known. In the mean time it has been suggested to meet at Ng hall as it is only $30 day for all the facilities. I will let you know more before the next newsletter, of where we will meet.

We need to gain more members to spread the cost of venue and allow more opportunities to pay for outside tutors.
I will write up a blurb about the group, and send it out to everyone. If you would like to share it with any groups you are involved in and mention our group to your arty friends who may like to come along.
Exhibition group
Margherita has emailed to ask for people who are interested in joining the internal group, to reply and say what degree they are interested
and what they require to be involved eg learn how to take photos
What the exhibition group would like to learn can be taught for the whole group if it is a technique, plenty will be interested in, otherwise we could hold separate, end of the day classes eg from 2 – 3pm.
This is only a mention now, because of the unknown amount of people interested in exhibiting eg if only 3 of us, then that may leave a large majority not interested in learning the intricacies eg of art picture taking eg.
More will be decided when we know more of the size of the group.
Exhibition people need to be fully committed, to the degree they want to be involved, because when we commit to exhibit etc then we can rely on
the art being ready from the people who said they would be involved with that event

We had a lovely Dec planning meeting with 7 of us at various times during the day– sharing ideas and some yummy treats.

We want to be a dynamic group of like minded artists – whether as hobby / fun / or more professional.
So we want our group to be a great group that others would love to join.
But also members and visitors, need to understand that with commitment to our group, comes privileges, rights and of course responsibilities
Maybe we could work on a mission statement to sum all this up?
Emails / Newsletters
Each month I will send out the newsletter as usual. It would be great to have more input from the members with articles, tips, links etc to add in.
It will just contain the info for that month and all the background info will now be sent out as individual emails eg background, database etc.
You can save these for future reference. If this is confusing, don’t worry, you’ll understand more when they start to arrive.
When I add any new info/updates etc I will send out a replacement email, for you to delete the previous one and then save the new one.
This will reduce the size of the monthly newsletter.
Car pool
We have members spread around Hamilton and the Waikato, so if transport is an issue or you just want to save petrol – have a look at the members list and see if you can car pool in your area to the meetings. Or contact me for some help with transport.
New members
We want and need to grow the membership – any ideas??
- To help cover fixed cost – venue etc
- To be able to bring in external tutors and lessen the risk of high class fees by having more members to spread the cost.
As we grow we need to be aware of new members,
- that they feel comfortable, especially in a room where everyone else seems to know each other.
- That they get to meet us all and we can all find new friends
- That we can help them know how we do things etc
- That we all share in this friendship, not just the organisers
In the introductory email I send out to potential new members I will also explain that class time is usually an intense full on learning time but after lunch more relaxed sharing time is available.

If the venue is more, then the extra will be paid from the bank account (where the sub is saved for this reason)
If the venue is less than this amount – the surplus will be put in the bank ready for any future payments.

Members - pay the cost of the class split between attendees
Non members - pay the same cost + years sub late fee ($30)

Sharing time is a time to show what you are doing and have done previously, challenges and art you need help with.
It doesn’t necessarily need to be what you have done in textile group.
If you are asked questions about your art, feel free to share details.
– this way we all learn and remember you may think what you’ve done is easy to do but if we don’t know and we ask we really want to learn.
If the technique you are asked about would take more than a couple of minutes to show – consider sharing it as a mini class in the future.
Let us know (when you are asked the question) you need more time to properly show the technique and we can organise a time slot for
you at the next meeting you attend.
If you don’t want to show the technique then best not to share the art. You may have a variety of reasons why you can’t share the method.

GUIDLELINES
The class can be something you know about or something you want to try
You don’t need to be an expert –
Trialling a new technique can also help share the costs as usually buying the supplies can be a high cost and you only need a little, so
this way you can share the cost with the other members.
It will be great if you have handouts for the class or at least some background info you can pass to me so I can put on the email class notes

Class notes just in black and white images and the email page version can have the colour and can be:
- photocopies of the notes you have gained from books or other classes – YOU MUST reference where you took the copies from
- or your own notes and pictures (take photos as you make the sample piece/s)
TECHNIQUES for future classes and teachers (this has now been moved over to the techniques email)
Exhibiting / events / marketing / funding etc
Members wishing to exhibit and market their art, will be a sub group and we will get together towards the end of the meeting day
JAN MEETING we will have a quick meeting to decide who’s interested and to what degree and a forward plan.
Many people are interested in textile art and it will be good to get our group info and our art, out there.
The members interested in this part of the group can be at any level
eg exhibit if they have time, all the way thru to “How do I become a full time artist”
There are many techniques and much information out there on how to market / display and sell art, it’s just a matter of us learning it.

how to take good art photos, and store them gallery ready eg proper labels, sizes etc
this includes storing them on computers, resizing ready for sending, attaching to email, downloading etc.
Write required artist info eg cv, statement etc
How to apply for exhibitions
This includes finishing the above steps so we have a library of art ready for filling in applications

Ellen has suggested we could meet at her new building, which sounds great and she is looking into work surfaces to use. She’ll keep us posted.
What will help with making a decision on the hall is:
People regularly attending meetings, so we know numbers to plan for and funds coming in

Judy Perez class – Bridget says we may be able to use class at Matamata school - so Judy doesn’t have to travel far and $40ish for the day and great facilities – Bridget will get more info closer to Judy’s visit when we know a day.
Participants will have to pay a 50% non refundable deposit to book a space .. if you are unable to attend and you/we can replace your space, you will be refunded

Te Awamutu quilt group are organising Joen Wolfrem as a colour teacher after symposium…not sure what cost will be.. may be $200 for day but textile group will be asked if they are
interested – Linda Bates is organising and will let us know what cost etc will be – too expensive

Send me any info and pictures for newsletter, remember we are a large and diverse group and have lots of different interests – so if you like it (whatever “it” is) then someone else will surely be interested. eg photos of our classes, links to art / artists / blogs / how to’s and help / galleries / competitions, exhibitions and challenges etc.

Look at submissions for art galleries etc .. ideas from anyone? .. Clare will ask frameworks .. discuss in Aug about getting ourselves organised for starting to display our work in 2013.
Caroline talked about submitting her work and being accepted for “Beneath Southern Skies” and mentioned artist Brenda Gail Smith.
Clare talked about us putting a body of work together for the framing workshop gallery.. – look at it again after CAQ in May, but check out the art in April when people bring art in.. need to discuss this now CAQ is finished.
CAQ – bring as many pieces as you want in April – everyone will get at least 1 piece in and then the rest will be chosen on what will give a stimulating and cohesive display. Ellen mentioned the area for display may be small .. I’ll ask Linda if she has an idea yet of our area.
Next meeting 1 big class in morning and afternoon small class with CAQ hand in and if lots to exhibit, make choices for display

Artspost declined our submission due to us being so new and no textile group art being available so far but encouraged us to try when we have a collection of art, we will try again next year - so 10 x 16 challenge size is no longer relevant – make them any size you want.

Artspost submissions – member must attend 50 – 75% of meetings (after joining) and have made the art with the technique taught (eg missed the dye class but entering a dye art piece). Decisions about art being entered if too many for display– made by members present at the time.
Members teach the classes – either ½ (2 hours) or full day (4 hrs) ......... or can have a slot time of a few mini classes, if members feel they don’t have enough for a full class.
No membership joining fee to be charged – just $3 for first meeting entry (instead of $2)
Wont look at halls for meetings as we all enjoy Budget rooms .. but may be too hot during the summer. Still look for messy class meeting room.

Artspost submission feedback: We had a good response of 12 members interested in exhibiting and I received photos from 8.
We will hear by the end of Oct whether we have been successful. With our help from Marion, I’m hopeful.
I have put our exhibit time as any time from Aug on, so that gives us a year.
Also on advice from Marion I have put in that we will have an external final selector and have approached Yanny Split, a textile artist who did an amazing job with the creative fibre national exhibit at quilt fair 3 – 4? years ago. She has asked various questions and I’m hopeful she will accept, but again it is a year away.
Feedback of my meeting with Desiree (Arts Waikato).
Decided that I would be the convenor of the group until we were large enough to need a committee. But I’m open to all help and will ask when specific jobs need doing.
Received a folder of meeting places provided for community groups, which Margherita will work thru and contact them about their facilities and cost etc.
Discussed what to do to make sure we were setting up correct protocols etc to manage the group as it grows.

Challenge size – decided on making challenges all same sizes ready if we are accepted for Arts post submission, agreed on golden ratio proportions so 10” x 16” horizontal or vertical and anything that fits into those sizes eg could be 8 x 16- Ideas for challenges,
Challenges will all be anything you want to make (unless specified eg a bag) but if you want it to be eligible for the group exhibits
(Calling all quilts next may and possibly Artspost) then it needs to fit within a 10” x 16” (or 25cm X 40cm) size.
REMEMBER – being part of the exhibits is optional and can be decided at exhibition times.
Halls for when group gets bigger or we are doing very messy classes and not sure how long Budgeting office available – Clare has said we can meet there until budgeting services move, not sure when. Please pass to Margherita any hall suggestions.

After discussion and using the email replies to the last lot of questions I sent out (for those not going to be at this meeting) these were the decisions made:
